KlassMatch legal
Privacy Policy
KlassMatch respects your privacy. This Privacy Policy explains how KlassMatch collects, uses, discloses, and protects information when you use our website, applications, and related services (collectively, the Platform).
In this Policy, KlassMatch, we, us, and our mean KlassMatch. You means a person or organization using the Platform. Parent includes a parent or legal guardian. Provider includes an independent business or individual offering enrichment programs. Organization includes a school, district, nonprofit, or other organization using the Platform.
1. Who May Use KlassMatch
KlassMatch accounts are for adults age 18 or older. Children may not create KlassMatch accounts. Parents and legal guardians may provide limited information about a child when reasonably needed for enrollment or program administration. KlassMatch is not a children's social platform and does not offer accounts to child users.
2. Information We Collect
We collect information you provide directly, information created through your use of the Platform, and limited information from service providers that support the Platform. This can include:
- Account and contact information, such as your name, email address, password-related account credentials, account type, profile details, and communication preferences.
- Parent information, such as profile details, program preferences, saved information, and information needed to use Parent features.
- Limited child enrollment information that a Parent or legal guardian provides for a requested registration or program administration, such as a child's name, age, grade, and other information reasonably necessary for the selected program.
- Provider information, such as business name, contact details, profile information, program listings, schedules, locations, pricing, capacity, service descriptions, uploaded materials, and program-related communications.
- Organization information, such as organization name, contact details, authorized-user information, program needs, inquiries, and related communications.
- Registration and roster information, including registration status, selected program and Provider, child enrollment details supplied for that registration, and related operational records.
- Inquiries and messages, including information you submit when contacting a Provider, Organization, KlassMatch, or support. Ordinary inquiries do not collect child names.
- Reviews, including ratings, review text, Provider responses, and review-related eligibility information.
- Subscription and payment metadata, such as plan, billing interval, trial and subscription status, payment and billing events, and payment-provider identifiers. Payment card details are processed by the payment provider and are not stored by KlassMatch except as otherwise provided by that provider.
- Document Vault files and metadata, including files uploaded by Providers, file names, descriptions, categories, dates, access and sharing settings, and related activity necessary to operate the feature.
- Support communications, including requests, attachments, and correspondence with KlassMatch support.
- Consent and email-preference information, including privacy choices, optional-email preferences, unsubscribe status, and records of affirmative consent where applicable.
- Device, session, and security information, such as browser and device details, IP-address-related connection information, session information, authentication events, log data, and information used to prevent fraud, abuse, and unauthorized access.
- Cookie and analytics information, as described in the Cookies and Privacy Choices section below.
Please provide only information reasonably necessary for enrollment, program administration, or your request. Do not submit unnecessary health, disability, Social Security, financial-account, or other highly sensitive information through ordinary messages, notes, or uploads unless a Provider specifically requires it and you have independently decided it is appropriate to provide directly to that Provider.
3. Child and Registration Information
Parents and legal guardians, not child account holders, provide child information to KlassMatch. We use limited child-related information to support a requested registration and related program administration.
Before Parent and child registration information is shared with the selected Provider, KlassMatch requires the Parent's separate `provider-sharing-v1` authorization for that Provider and registration. This authorization is separate from any agreement to Platform terms or privacy notices. Parents should review the selected Provider's own practices and provide only the information reasonably necessary for enrollment.
4. How We Use Information
We may use information to:
- operate, maintain, secure, and improve the Platform;
- create and administer accounts and provide requested features;
- facilitate requested Parent, Provider, and Organization connections, inquiries, registrations, and program administration;
- provide registration information to the selected Provider or Organization where appropriate to fulfill the requested service;
- process subscriptions, trials, billing, and related payment activities;
- provide customer support and respond to requests;
- communicate about accounts, security, billing, registrations, requested services, and other operational matters;
- send optional communications in accordance with your preferences and applicable unsubscribe controls;
- prevent, investigate, and address fraud, misuse, security incidents, and violations of our terms or policies;
- comply with legal obligations, enforce agreements, and protect rights, safety, and property; and
- measure and improve Platform performance through analytics where you have provided the required consent.
5. How We Share Information
We may share information in the following circumstances:
- With selected Providers and Organizations. We share information as reasonably needed to facilitate a requested inquiry, registration, enrollment, program administration, or other interaction. Registration-sharing of Parent and child information occurs only after the Parent's separate `provider-sharing-v1` authorization for the selected Provider.
- With service providers. We use providers that support hosting, authentication, email, payments, consented analytics, customer support, security, and related infrastructure. They receive information only as reasonably necessary to provide services to or for KlassMatch.
- For legal, safety, and security purposes. We may disclose information when we reasonably believe disclosure is necessary to comply with law, respond to lawful process, enforce agreements, protect rights or safety, investigate fraud or security issues, or protect the Platform and its users.
- In a business transaction. Information may be transferred as part of a merger, financing, acquisition, reorganization, sale of assets, or similar transaction, subject to applicable law.
- With your direction or consent. We may share information when you ask or authorize us to do so.
KlassMatch does not sell personal information for money. We do not use personal information for cross-context behavioral advertising unless we separately disclose that practice and provide any consent or privacy rights required by applicable law. Privacy laws may define "sale" or "share" differently, and this Policy does not make a broader statement about every legal definition.
6. Cookies and Privacy Choices
KlassMatch uses necessary cookies and similar technologies to keep the Platform secure, working, and accessible. Necessary functionality remains active because it supports core operation and security.
Functional, Analytics, and Marketing categories are optional and default off. You can choose to accept optional categories, reject optional categories, or manage categories individually. You can change your choices later through Privacy choices on the Platform.
Google Analytics 4 and KlassMatch's C2/Signals analytics do not load until you provide Analytics consent. We use consented analytics information to understand Platform use and improve our services. Your privacy-choice record is stored locally for up to 365 days and does not include account, email, IP-address, or fingerprinting data as part of that consent record.
7. Email Preferences and Communications
Optional marketing emails are subject to your preferences and unsubscribe controls. You may unsubscribe from optional email categories through the link or preference controls made available in those messages. Unsubscribe requests are designed to be durable and may be associated with a protected identifier so the choice remains effective if profile information changes.
We may still send transactional, account, security, billing, registration, requested-service, and support communications when appropriate to operate, secure, administer, or support the Platform. These operational communications are not optional marketing communications.
8. Account Deletion and Retention
Subscription cancellation is separate from account deletion. Cancelling a subscription controls future renewal and paid-feature access under the applicable subscription terms; it does not by itself delete an account.
If you request account deletion, KlassMatch applies the following recovery timing:
- Parent accounts have a 7-day recovery period.
- Free Provider accounts have a 30-day recovery period.
- Paid Provider access continues through the exact paid term; after that term ends, the Provider account has a 30-day recovery period.
- Organization accounts have a 30-day recovery period.
During a deletion process, access may be restricted and related sharing or optional communications may be stopped. At final deletion, KlassMatch deletes, anonymizes, or minimizes information according to the implemented account-deletion lifecycle. We do not guarantee instantaneous destruction of every historical record. Eligible retained reviews may be disassociated from the former Parent and displayed as KlassMatch Parent.
We may retain limited information when reasonably necessary for billing or transaction records, affirmative-consent records, security, fraud prevention, dispute resolution, legal obligations, enforcement, and audit purposes. Backup copies may remain temporarily through normal backup retention and rotation processes, but are not intended for ordinary product use after deletion.
9. Security
KlassMatch uses reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission, storage, or security control is completely secure. We cannot guarantee absolute security or that unauthorized access, loss, or misuse will never occur.
You are responsible for maintaining the confidentiality of your account credentials and for promptly reporting suspected unauthorized access through the support contact method made available on the Platform.
10. Your Privacy Rights
Depending on where you live and applicable law, you may have rights to request access to, correction of, deletion of, or other actions regarding personal information. To make a privacy request, contact KlassMatch through the support mechanism made available on the Platform and identify the privacy right you are requesting.
Rights vary by jurisdiction, and KlassMatch will honor rights required by applicable law. To protect information, we may need to verify your identity before fulfilling a request. Where applicable law permits an authorized agent to make a request for you, we may require documentation of the agent's authority and verification of your identity.
11. International and Service-Provider Transfers
KlassMatch and its service providers may process information in locations outside your state, province, or country. Where required by applicable law, we will use appropriate safeguards for transfers of personal information.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make a material change, we will provide appropriate notice as required by applicable law. We may require affirmative re-acceptance when legally or contractually appropriate. The current version and effective date will be identified in the updated Policy.
13. Contact and Privacy Requests
For questions about this Privacy Policy or to submit a privacy request, contact KlassMatch through the support contact method made available on the Platform.
